1. Who we are
CoverVet Inc. (“CoverVet,” “we,” “us”) operates the cover.vet marketplace connecting veterinary hospitals with relief veterinarians and veterinary technicians. This Privacy Policy describes how we collect, use, and share information about you when you use our website and mobile applications.
2. Information we collect
Information you provide directly
- Account information: name, email address, phone number, password (stored in hashed form via our authentication provider).
- Professional information (practitioners): legal name, license number(s), state(s) of licensure, expiration dates, DEA registration where applicable, professional liability insurance details, experience, credential type, resume (vet techs), and home location for shift discovery.
- Practice information (hospitals): business name, legal name, address, contact information, practice management software, records format, and operational details voluntarily provided.
- Payment information: bank account or card details submitted through our payment processor, Stripe. We do not store full card numbers on our systems.
- Communications: messages exchanged between users on the platform and with our support team.
Information collected automatically
- Usage data: pages visited, features used, shifts posted/requested/completed, timing of interactions.
- Device and log information: IP address, browser type, operating system, device identifiers, crash reports.
- Location: approximate location derived from your mailing address (for shift discovery) and, on mobile, precise location only with explicit permission for map features.
3. How we use information
- To operate the marketplace and match practitioners with shifts.
- To verify professional credentials with state board records.
- To process payments and disburse practitioner earnings.
- To communicate with you about your account, shifts, support inquiries, and policy updates.
- To detect, prevent, and respond to fraud, security incidents, and violations of our Terms.
- To comply with legal obligations.
- To analyze and improve the platform.
4. How we share information
We share information with the following categories of recipients, only as needed for the purposes above:
- Other users (limited): hospitals can see verified credential summaries of practitioners who request their shifts; practitioners see hospital identity and shift details after a request is approved. We never share a practitioner’s home address, personal phone, or personal email with hospitals.
- Service providers: payment processing (Stripe), authentication (Clerk), email delivery (Resend), SMS (Twilio), maps (Mapbox), error monitoring (Sentry), product analytics (PostHog). These providers are contractually limited to using your information only for the services they provide to us.
- State boards: we query state veterinary board records to verify licensure; we do not share your information beyond what is necessary for that verification.
- Legal compliance: when required by law, subpoena, or court order, or to protect the rights, property, or safety of CoverVet, our users, or the public.
- Business transfers: in connection with a merger, acquisition, or sale of assets, with notice to you where required by law.
We do not sell your personal information. We do not share your information for third-party advertising.
5. Data retention
We retain account and transaction records for as long as your account is active and for a period afterward consistent with tax, legal, and regulatory requirements. Verification records are retained for the life of the account and at least seven (7) years thereafter. You may request deletion of your account by contacting us; certain records may be retained where required by law.
6. Security
We use industry-standard safeguards to protect your information, including encryption in transit (TLS) and at rest for sensitive fields (DEA numbers, payment tokens). No system is perfectly secure; we cannot guarantee absolute security.
7. Your choices and rights
- Access and correction: you can review and update your profile information from within the app.
- Notification preferences: you can adjust email, push, and SMS notifications in your account settings.
- Deletion: see cover.vet/account-deletion for how to request account deletion. Subject to legal and tax retention requirements.
- State-specific rights: residents of California, Colorado, Connecticut, Virginia, and other states with consumer privacy laws have additional rights including the right to know, delete, and (where applicable) opt out of certain processing. Contact us to exercise these rights.
8. Children
CoverVet is not directed to children under 18 and we do not knowingly collect information from anyone under 18.
9. International users
CoverVet operates in the United States. If you access the platform from outside the United States, your information will be transferred to, processed in, and stored in the United States.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email and in-app notice. The “last updated” date at the top of this page reflects the most recent revision.
